1Subul AI’s Role as a Data Processor
Subul AI primarily operates as a Data Processor on behalf of our Clients, who act as the Data Controllers. We process customer communication data, scheduling details, and logistical administrative information strictly under the direction and authorization of the respective Client and in accordance with our terms of service.
2Information We Collect
To provide our automated customer journey loops, we may process the following categories of data:
- Account Information: Contact details of the Client’s administrative staff (names, emails, business phone numbers) used to manage the Subul AI platform dashboard.
- Customer Interaction Data: Basic end-user identifiers (names, phone numbers, and messaging opt-in preferences) required to trigger automated messaging loops via Meta APIs.
- Operational & Transactional Data: Appointment times, booking requests, reservation statuses, e-invoicing references, and post-interaction feedback survey responses.
3How We Use the Information
We use the processed data solely to deliver, maintain, and optimize our core services, including:
- Orchestrating 24/7 automated messaging sequences (booking confirmations, out-of-hours responses, pre-service instructions, and greetings) via the WhatsApp Business API.
- Synchronizing scheduling adjustments and logistical data natively between Meta communication channels and the Client’s existing operational systems or databases.
- Generating analytical reports regarding customer engagement, retention, and response rates for the Client’s administrative dashboard.
4Meta API Data Handling & Third-Party Disclosure
Subul AI integrates directly with Meta Platforms, Inc. APIs to facilitate business-to-customer messaging workflows.
- Strict Utilization: Data transmitted through Meta APIs is used exclusively to route the designated automated messages to the end-user’s device.
- No Commercial Selling: We never sell, rent, or lease any customer data, contact numbers, or interaction logs to third-party advertisers or data brokers.
- Legal Compliance: We may disclose data only if legally required to do so by applicable judicial laws or regulatory authorities in the jurisdictions we operate.
5Data Security & Storage
We implement industry-standard administrative, technical, and physical security measures designed to protect commercial data against unauthorized access, alteration, or disclosure. All data transmissions between our platform, the Client’s internal systems, and Meta APIs are fully encrypted in transit.
6Data Retention
We retain personal data only for as long as necessary to fulfill the specific operational purposes outlined by the Client’s subscription agreement, or as required by applicable local legal, accounting, or reporting mandates. Upon termination of service, data is securely anonymized or permanently deleted as per contractual clauses.
7End-User Rights & Opt-Out
End-users interacting with automated messaging via Subul AI retain the right to control their communication preferences. Customers can opt out of automated notifications at any time by replying with standard keywords (e.g., "STOP") or notifying the business directly. Subul AI will instantly respect and halt all automated triggers to that specific number.
8Changes to This Privacy Policy
We reserve the right to update this Privacy Policy periodically to reflect technological changes or regulatory updates. Any changes will be posted directly on this page with an updated revision date.
9Data Deletion Requests
You can request deletion of your personal data at any time. If you are a customer of a business that uses Subul AI, you may either contact that business directly or email us atinfo@subul.aiwith the subject "Data Deletion Request". If you are a Subul AI client, send the request from your registered administrator email. We verify each request and delete the data from our production systems within 30 days, as described on ourData Deletion page.
