Data Deletion Request

1If You Are a Customer of a Business That Uses Subul AI

If you have chatted with a business (for example over WhatsApp) and that business uses Subul AI to manage its conversations, that business is the controller of your data and Subul AI processes it on the business’s behalf. You have two ways to request deletion:

• Contact the business directly: Ask the business you communicated with to delete your data. As their processor, we will carry out the deletion on their instruction.
• Contact us directly: Email us at [email protected] with the subject "Data Deletion Request". Include the phone number you used to message the business and, if possible, the name of the business. We will verify the request, coordinate with the business, and delete the data we hold about you.

2If You Are a Subul AI Client (Business Account)

To delete your workspace, team accounts, and the data processed under your subscription, send a request from the administrator email registered on your account to [email protected] with the subject "Account Deletion Request".

We will confirm the request, offer a 30-day window to export your data, and then permanently delete your workspace and its data.

3What We Delete, and When

Once a verified deletion request is accepted, we delete the personal data associated with the request from our production systems within 30 days, including:

• Contact identifiers (name, phone number) and messaging opt-in records.
• Message and conversation history processed through the platform.
• Operational data such as bookings, reservation statuses, and feedback survey responses.
• For account deletions: dashboard user profiles, workspace settings, and uploaded knowledge-base content.

4What We May Retain

Copies in encrypted backups are purged on our routine backup rotation cycle within 90 days of deletion. We may retain limited information where we are legally required to do so (for example invoicing and accounting records) or where needed to establish, exercise, or defend legal claims. Retained data remains protected under our Privacy Policy and is not used for any other purpose.

5A Note About WhatsApp Itself

Deleting your data from Subul AI removes it from our systems and, on the business’s instruction, from their Subul AI workspace. It does not delete the chat history stored on your own device or data held by Meta / WhatsApp on their systems. To manage that data, use WhatsApp’s in-app controls or contact Meta / WhatsApp directly.

6Verification and Confirmation

To protect against fraudulent requests, we may ask you to verify control of the phone number or email address associated with the data. Once deletion is complete, we will send a confirmation to the contact you used to make the request. If we cannot fulfill a request (for example because we cannot verify it, or a legal retention duty applies), we will explain why.
